Student Employment

Student Employee Hiring Procedure

Step 1 - Register with Handshake

Each department should have access to a Handshake account. Please contact yourAdministrative Assistant or Budget Unit Head if you need assistance accessing your department's account.

  • 1.Navigate to Single Sign-On (SSO).
  • 2. Select the Handshake application.
  • 3. Enter your SWOSU email address under Employers & Career Centers.
  • 5. Follow the on-screen prompts to complete registration.

Note: Before posting your first position, your department's account must be approved by the Student Employment Specialist in Human Resources - 580.774.3071.

Step 2 - Post a Student Job

  • 1. Log in to Handshake through Single Sign-On (SSO).
  • 2. Select Post a Job.
  • 3. Complete all required posting information, including:
    • Position Title
    • Job Description
    • Student Pay Rate (Please review the Student Employment Pay Policy)
  • 4.Save and submit the posting for review.

Important: Remote work is not permitted for student employee positions.
Once submitted, the Student Employment Specialist in Human Resources will review and publish the position.

Step 3 - Application Process

  • 1. Interested students must apply through Handshake.
  • 2. Applicant resumes will be sent directly to the contact email designated during the job posting process.
  • 3. Students needing assistance with the application process should contact the Student Employment Specialist in Human Resources.

Step 4 - Interview Process

  • 1. Review resumes received through Handshake.
  • 2. Contact selected applicants to schedule interviews.
  • 3. Conduct interviews and evaluate candidates.
  • 4. Select the applicant who best meets the needs of the position.

Step 5 – Hire the Student Employee

  • 1. Submit a Student Pay Action Form through Etrieve.
  • 2. Select a future start date to allow Human Resources adequate time to process employment paperwork and schedule the student's onboarding appointment.

Important: Advise the student that Human Resources will contact them via email to complete all required employment documents on or before their first day of work. Failure to complete required employment documentation before beginning work may result in violations of state and federal employment regulations.

Step 6 - Receive Authorization to Begin Work

Student employees may begin working only after the department receives an Authorization to Begin Work email from Human Resources.

Students are not permitted to perform any work duties until this authorization has been received.
