Permit Mailing
Permit imprints must be printed by the SWOSU Print Shop, they can not be hand stamped. The permit imprint must be printed in the upper right corner of the mail piece. Reading as follows:

- Southwestern Oklahoma State University, 100 Campus Drive, Weatherford, OK 73096-3098,
any endorsement – if applicable, and account number must be in the return address
on each piece of mail. Each piece must carry postage paid by SWOSU PERMIT 57. This can be printed on envelopes at the University Print Shop.
- The number of pieces must be at least 200 or more. The pieces must be identical in
size and weight (same enclosures). The pieces must be separately addressed to different
persons and the addresses must include the zip code. Be sure all addresses face the same direction in the bundle. There must be 10 or
more pieces to a bundle and the bundle can be up to 6” in depth.
- Sort and bundle according to the following directions:
- Sort all letters by 5 digit zip code. This means put all like 5 digit zip codes together. Count and write the number of pieces in the bundle in the lower left hand corner of the top piece of mail. There must be at least 10. Place a red “D” sticker by the address on the top piece of mail. Band together 2 ways with wide, heavy, rubber bands that are furnished by the Campus Mail Room. Stickers are also furnished by the Mail Room.
- Sort remaining letters by the first 3 digits of the zip code. Group these together by the first 3 alike numbers, example put all 730’s, 735’s, etc. together. Count and write the number of pieces in the bundle in the lower left hand corner of the top piece of mail. There must be at least 10. Place a green “3” sticker by the address on the top piece of mail. Band together 2 ways with wide, heavy, rubber bands.
- Sort remaining letters numerically by the zip code using form L004. Group the remaining letters by Form L004, however, within the group these need to be in numerical order. This is very important. Count and write the number of pieces in the bundle in the lower left hand corner of the top piece of mail. There must be at least 10. Place a pink “A” sticker by the address on the top piece of mail. Band together 2 ways with wide, heavy, rubber bands.
- Sort remaining letters numerically by the zip code. Group remaining letters numerically by the zip code. Count and write the number of
pieces in the bundle in the lower left hand corner of the top piece of mail. There
must be at least 10. Place a brown “MS” sticker by the address on the top piece of
mail. Band together 2 ways with wide, heavy, rubber bands.
- The bundles now need to be placed in separate trays. The trays are provided by the
Campus Mail Room, (please let us know a couple of days in advance so we can get the
trays). Place all “D’s” in a tray by themselves, all “3’s” in a tray, all “A’s” in
a tray, and all “MS’s” in a tray within each tray the letters must be in zip code
order. All trays must have the proper destination label affixed to the front of each tray. If you are not sure of which label to use….visit the USPS web site at www.usps.com for the latest information.
- Please bring the mailing to the Campus Mail Room at least one day in advance of the
mailing date, be sure to fill out and attach the permit form. This form is furnished
by the Campus Mail Room.
- An Organization or Grant must have their sponsor’s signature on all Permit Forms.
