Open Records Procedures for SWOSU
As a public employer, Southwestern Oklahoma State University (SWOSU) embraces the concept that the people are vested with the inherent right to know and be fully informed about their government.
Individuals or organizations desiring to request records may do so by any of the following methods:
SWOSU, Attn: Open Records Officer, 100 Campus Dr., Weatherford, OK 73096
SWOSU, Human Resources Office, Administration Bldg., Room 103
While not always necessary or required, providing SWOSU with the following in writing is frequently helpful in assisting us to provide the correct information in a timely manner:
- Name of individual or company requesting information
- Billing address
- Contact information of the requesting party
- Specific details on the information requested (permanent or local address, etc.)
- Preferred format (e-mail attachment, printout, labels, etc.)
SWOSU has established the following fee rates for the reproduction of records:
$20.00 - Hourly rate for Programmer, if required$ 0.25 - Per copied page
$ 1.00 - Per copied page for a certified copy
In addition to the above rates, SWOSU reserves the right to charge a search fee for requests that are solely for commercial purpose, or would clearly cause excessive disruption of SWOSU’s essential functions. If applicable, such a search fee will not exceed the direct costs of making the copy. SWOSU does not access a search fee when the release of documents is in the public interest, including but not limited to the news media.
Upon request, SWOSU can provide a cost estimate prior to reproducing the data.
SWOSU Student Organizations that have been recognized by the University will not routinely be charged in excess of $15.00 per request for materials.
SWOSU reserves the right to revise, supplement, or rescind any segment or portion of this document. In the event of a conflict between the provisions of this document and the provisions of the Oklahoma Open Records Act, the latter will take precedence.
