SWOSU Student Financial Aid Policy

An institution shall establish and maintain, on a current basis, program records that document its disbursement and delivery of Title IV, HEA program funds and documentations relating to each student’s receipt of Title IV, HEA program funds, including but not limited to the date and amount of each disbursement or delivery of grant or loan funds. (34 C.F.R. 668.24 and 690.81)

SWOSU will maintain these records through the ERP system and ensure the software correctly reports the dates of disbursements in the student billing system and in the reports delivered to USDOE Common Origination and Disbursement (COD) reporting system.

SWOSU will maintain records through the ERP system and ensure the software correctly identifies the federal loan description in both the financial aid award/acceptance system and the student billing system. The loans will be identified as:

• Subsidized Direct Loan
• Unsubsidized Direct Loan
• Pharm Direct Loan
• Direct Plus Loans
